Ask whether the professor can write a supportive recommendation, identify the work they know you through, and give the earliest deadline. After they agree, send a small, organized evidence packet. The email below is a request you can adapt; it is not a recommendation letter for you to write on someone else’s behalf.
Start with the program’s requirements for who may recommend you. For academic graduate programs, someone who has evaluated substantial work may be able to provide more detail than a prominent person who barely knows you. Berkeley’s graduate preparation guidance emphasizes recommendations and preparation for the proposed study; individual departments set their own requirements.
List what each possible writer actually observed: a research project, a seminar paper, a design review or sustained work under supervision. If your only connection is a large lecture course, the request should make that clear rather than imply a close mentoring relationship.
Ask before entering the person’s information into an application system. Include the degree or field, the earliest deadline and the basis of your connection. Make it possible to decline. A hesitant or overcommitted writer may not be the right choice, even if you like them.
Prepare an evidence packet, not a ghostwritten letter
Keep the packet easy to navigate: a one-page program and deadline list, a current CV, a brief explanation of your interests and the work the writer evaluated. Include a draft statement only if useful or requested. Label the materials clearly instead of sending a pile of attachments with similar names.
You can remind the writer of an event and supply factual context. They decide which observations belong in their letter and what judgment to make. Follow every program’s authorship rules. Do not submit a letter in the recommender’s name or invent language you want attributed to them.

At Berkeley, the application system sends recommenders an upload link, and applicants can check submission status and send reminders. Other institutions may use different systems. Follow the instructions for each application; a generic email saying “all my letters are due” can conceal several different deadlines.
Agree on a reminder plan when possible. If the deadline is approaching and the portal still shows an outstanding letter, send a short factual note with the date and offer to resend the link. Avoid daily messages. If the recommender becomes unavailable, contact the program about its process rather than assuming a late letter will be accepted.
Check whether professional recommendations are allowed and what the program wants them to demonstrate. A supervisor can discuss observed analytical or writing work, but that may not satisfy a requirement for academic letters. Ask the admissions office a specific question if the published instructions leave this unresolved.
When reconnecting with a professor, include the course, term and a piece of work that can jog their memory. Do not take a decline personally or pressure them to claim familiarity they no longer have. Build enough time into your application plan to identify another eligible writer.
